Booking checklist

1. Intake: The visitor chooses day pass, stay, membership, sanctuary, volunteer, or question.

2. Gate: The Valley reviews public capacity, member access, rental openings, private closures, weather holds, parking limits, and site readiness.

3. Confirm: Approved requests receive payment or deposit instructions, waiver links, property rules, arrival notes, and the current creek-condition notice.

4. Check in: The check-in pass, parking note, responsible adult, minor list, and waiver status are reviewed before creek access.

5. Follow up: Refunds, reschedules, member visits, stay changes, review requests, and stewardship reminders stay attached to the same request.

6. Report: Capacity, member access, weather closures, rental use, waivers, and safety notes are reviewed as the property grows.

Calendar rules

The rental calendar needs hard stops, not hope.

Day capacity

Public passes start with a 50-person daily cap, while member visits stay tracked separately against a 75-person total property safety capacity.

Rental inventory

Four RV Retreats, ten primitive campsites, and one Bell Tent each need their own available stay slot and reset time.

Closure controls

Weather, creek conditions, parking, private events, maintenance, and sanctuary boundaries can pause the calendar before payment.

Waiver gate

Adults sign individually. Minors attach to the responsible adult before check-in.

Money path

Day passes collect full payment. Stays use the approved deposit path before the rental resource is treated as confirmed.

Follow-up

Every guest path ends with check-in status, no-show handling, review request, reschedule/refund decision, and member nurture where relevant.
